SMUworks Academic Application: 

The SMUworks Academic Winter 2021 semester application is now open. 
Students can access the student application at smu.ca/smuworks

Important Academic 2020-2021 Dates:

  • Faculty & Staff Application Deadline – Sunday, November 15, 2020 
  • Faculty & Staff Application Decisions – November 18, 2020 
  • Student Application Period – November 20 – December 6, 2020 
  • Eligible Student Applications sent to Faculty & Staff – December 9, 2020 
  • Student Start Date – January 11, 2020 
  • Student End Date – March 26, 2020 

Program Details:

SMUworks is a bursary-based student employment program that benefits students, faculty, and staff alike. These positions not only provide valuable work experience for the students but also helps them gain experience in the job application and interview process.

How much is the grant for?

Undergraduate Positions: Successful undergraduate applications will receive up to a maximum of $2184.003,786.30 ($14.5612.02 per hour, which includes 4% vacation pay, to a maximum of 15 hours per week for 1021 weeks). 
 
Graduate Positions: Successful graduate applications will receive up to a maximum of $2340.004,101.30 ($15.6013.02 per hour, which includes 4% vacation pay, to a maximum of 15 hours per week for 10 21 weeks). 

Employer Cost: Amounts in excess of the bursary will be the responsibility of the faculty/ staff bursary recipient. 

How will I find out if I've been approved?

Faculty & Staff will be informed of the bursary decisions by the Faculty & Staff Application Decisions date indicated above. Successful applicants will receive notice of approved funding and allotment of hours.

Who can I hire?

Student eligibility criteria:

  • Currently registered in a degree or diploma program at Saint Mary's for the winter academic semester 
  • Demonstrate financial need 
  • Have good academic standing (GPA 1.7+) 

Students are not eligible for the program if they have fulfilled their degree requirements or have graduated. ESL, upgrading and visiting students are not eligible for the program.

How does the student apply?

  1. They submit a SMUworks Application electronically to Financial Aid & Awards**
  2. They upload their resume and cover letter to Career360°, and apply to the SMUworks job posting(s) they are interested in.

**In order to participate in SMUworks, the student must demonstrate financial need. This is why the SMUworks Application includes a detailed budget, as it is essential for the Financial Aid & Awards Office to have a clear picture of the student’s financial circumstances. If we determine there are discrepancies between the student’s submitted budget and the information we collect from their student account, they will be ineligible to participate in SMUworks.

Additionally, if they do not complete all application steps, their application will be deemed incomplete and they will not be eligible for the program. Their resume and cover letter will not be submitted to you for consideration.

What is the hiring process?

After the application deadlines have closed, Career & Experiential Learning will review all applications received. Eligible student applications will be forwarded to you, the bursary recipient.

Please note that while we welcome you to encourage your students applied, preferred candidates are not allowed. You are required to conduct a formal interview with at least three eligible applicants.

Once the interviews have been conducted, you are asked to inform Career & Experiential Learning of the name and student number (A#) of the successful student, as well as the names of the candidates you interviewed who were not successful.

How do I pay for my new student employee?

Payroll paperwork must be submitted toCareer & Experiential Learning before the student begins working. This program is intended to provide financial stability to students with significant needs, and it is, therefore, crucial that their payroll information is submitted in a timely manner. Failure to submit a students’ paperwork will result in the Staff or Faculty member being ineligible to receive a SMUworks grant in the future. 

The following forms need to be completed:

  • SMUworks Fixed Remuneration Form
  • SMUworks Casual Employee Action Form
  • TD1 Personal Tax Credits Return
  • TD1 Nova Scotia Personal Tax Credits Return

Please keep track of the student's hours in order to ensure that the student only works the number of hours you were approved for.

  • Student SMUworks Work Start Date – Monday, May 3, 2021
  • Student Work End Date – Friday, August 27, 2021

Program Details:

SMUworks is a bursary-based student employment program that benefits students, faculty, and staff alike. These positions not only provide valuable work experience for the students but also helps them gain skills in the job application and interview process, in addition to financial support. 

How much is the Grant for?

Undergraduate Positions: Successful undergraduate applications will receive up to a maximum of $7,098.00 ($14.56 per hour, which includes 4% vacation pay, to a maximum of 32.5 hours per week for 15 weeks).

Graduate Positions: Successful graduate applications will receive up to a maximum of $7605.00 ($15.60 per hour, which includes 4% vacation pay, to a maximum of 32.5 hours per week for 15 weeks).

Employer Cost: The Faculty/Staff bursary recipient is responsible for ensuring that amounts in excess of the fixed grant are paid. For this reason, we require you to provide a department budget code when submitting students’ payroll paperwork. 

How will I find out if I've been approved?

You will be informed of the grant decision by Friday, March 5. If your application is successful, you will receive notice of approved funding and allotment of hours.


Who Can I Hire?

If your job posting is unsuccessful you can repost the position. Please be aware that this may lead to delays in filling the position, however, the Student Work End Date cannot be extended beyond August 27.

How do I pay for my new student employee?

Once you identify your selected candidate. SMUworks works will send you all paperwork and instructions for completion. Payroll paperwork must be submitted to Career & Experiential Learning before the student starts working. This program is intended to provide financial stability to students with need, so it is crucial that payroll information is submitted in a timely way. Failure to submit a student’s paperwork will result in the Faculty or Staff member being ineligible to receive a SMUworks grant in the future.


The following forms must be correctly completed, signed, and forwarded to SMUworks

  • SMUworks Fixed Remuneration Form (you will need to confirm the department's overage FOAP
  • SMUworks Casual Employee Action Form. Also called the 'hiring form'
  • TD1 Personal Tax Credits Return
  • TD1 Nova Scotia Personal Tax Credits Return
  • Student's banking information (if not already on file at payroll)
  • If an international student, a copy of their Study Permit (if not already on file at payroll)

Please keep track of the student's hours to ensure that the student only works the number of hours you were approved for. Otherwise, your department will be charged for any additional hours.
